Block Booking Agreement

To apply to Block Book at The Hub, read through the following terms and conditions, and then sign and date your agreement at the bottom of this page.

This agreement is with the individual named below and is not transferrable to anyone else. Only the person named in this Agreement is permitted to book and use The Hub, and only in their professional capacity.

All hiring and access to our space is subject to your successful application and payment of a £100 security deposit to cover the cost of replacing the keys and any damage to the buildings and contents. This is refundable when you no longer wish to use The Hub, subject to returning the keys and leaving the space in the same condition as you found it.

All Hub users use the same arrival and departure procedure to ensure that The Hub is ready to use when you arrive to start your session. A detailed description of the Arrival and Departure procedure will be shared once you are fully registered, and your blocks have been confirmed in our calendar.

This Block Booking Agreement secures fixed weekly bookings of The Hub as agreed, detailed and confirmed between us by email. The weekly bookings will initially be subject to availability of The Hub, but once they have been agreed, the hours will be held for you indefinitely until notice is given.

1.  Payment

A monthly fee will be confirmed based on the exact number of regular weekly hours you request. This will be calculated as a monthly fee by multiplying your weekly hours by 52 weeks, and then dividing this into 12 equal monthly payments. On commencement of this Agreement, 2 months’ rental fee by BACS payment will be required in advance to secure your block bookings indefinitely. You will then be required to pay the monthly fee on or before the 1st of each following month via standing order. At the start of our agreement, you will need to provide evidence that a standing order has been set up to make your monthly payments.

We will send you a receipt for each monthly payment.

Your Block Bookings will only be held indefinitely for as long as you pay your monthly payments on or before the 1st of each month.

If you fail to pay the monthly fee by the 1st of the month, we reserve the right to release, without notice, the weekly Block Booked hours that we were holding for you indefinitely. Those hours will be given to someone on the waiting list, and/or released to the live online booking calendar.

2.  Amending Your Block Booked Hours

If you wish to extend your regular weekly Block Booked hours, subject to availability, your monthly payment will be recalculated. You will need to amend your monthly standing order. An invoice for the immediate difference prior to the month end will be emailed to you taking into account these changes and will be payable immediately by BACS payment.

If you wish to reduce your regular weekly Block Booked hours, you need to give us one month’s notice starting from the first of the month, and we will apply the value of the prepaid hours you no longer require against your future Block Booking invoices. You will need to adjust your monthly standing order.

3.    Notice to Terminate the Agreement

If you wish to terminate your Block Booking agreement, we ask that you give us 2 months' written notice so we can release the dates after that to waiting therapists.

Please email your written notice to:  happyhub@happyhealthyholistic.com.

4.    Cancellations & Refunds

Block Bookings cannot be amended, transferred or refunded. The Block Booking Agreement is an ongoing commitment which will continue indefinitely until you stop your monthly standing order or give notice to cancel your Block Booked hours.

5.    Additional Hours

If you require additional ad hoc hours outside of your Block Booking Agreement, these can made through our Booking Calendar online portal (subject to availability) and are prepaid at the time of booking. It is your responsibility to ensure that any additional hours are booked. Payments for any additional hours are non-refundable and non-transferable unless 72 hours’ notice is given in advance.

6.  Insurance

You confirm that you hold public liability insurance of at least £5 million cover, and any incidents that occur during your use of The Hub will be covered by that insurance. You will provide us with renewal documents annually, prior to the renewal date.

7.  Building Usage

7.1 You will not have an open flame inside of, or within three metres of, The Hub and any of the buildings associated with The Hub. This includes smoking, vaping, lighting candles and incense.

7.2 You will not enter The Hub before 7am and will vacate by 11pm. You understand that the area around The Hub is under security surveillance, police will be called if The Hub is occupied before or after those times and we will risk losing our lease as a result.

7.3 You agree to familiarise yourself with the fire safety policy and to follow it at all times.

7.4 You are aware that a CCTV camera is set up inside The Hub to protect Hub User's security. It only records The Hub doorway when people enter and exit. No sound is recorded.

7.5 If at a point in the future we move premises, we will offer you the same Block Booked slots at the new premises should you wish to come with us.

By signing this document, you confirm that you wish to apply to hire private space in The Hub and agree to all of the above terms and conditions.
